The Insurance Industry in Digital Transformation
AXA Völkening and Behrendt OGH is an insurance agency in Neustadt am Rübenberge. Thomas Völkening founded the company 34 years ago. Nico Behrendt has been supporting him for several years. With nine employees, they specialize primarily in corporate customers and industrial business, with an in-house claims department. This means they operate throughout Germany and look after a large number of corresponding companies.

"Our industry is currently undergoing constant digital change and the challenge is that we adapt to new digital processes and changes as best as possible," says Nico Behrendt. It is not just the constantly changing external circumstances of the industry that require modern and more digital work processes. Solutions for the team and the internal processes and organization must not be forgotten.

For this reason, the two owners decided more than two years ago to introduce digital time recording with clockin.

Why a change was necessary

A lot of time was lost collecting and transferring the data. In addition, overtime was not saved as one would have hoped. The result: no good overview - neither for the employers nor the employees.

Documentation is particularly important and time-consuming in field service. Here too, due to the lack of a digital solution, we had to resort to tally sheets and Excel tables.

While searching for software that offers exactly the solution they need, Nico Behrendt came across clockin. During the test phase, they set up the software for themselves and quickly realized that clockin is exactly what they need. “We received very good input from customer service at the beginning. We received great support from customer service when we had a few questions about setting up the app.”

“For us, digitalization also means getting our employees on board.” Fortunately, concerns that employees might not accept the new solution as they imagined were quickly dispelled. “Ultimately, I really have to say that everything worked great from the start,” says Behrendt. Thanks to the simple user interface, employees are familiar with using the time recording app within just a few days.

Since then, employees have been clocking in directly via the tablet terminal in the office. Sick notes and vacation requests are also processed via clockin. The request is created in just a few clicks using the app and Nico Behrendt then receives an email. He can keep an eye on absence management at all times using the calendar function.

The app has been installed on the mobile phones of employees in the field and those working from home. This means they can clock in and out from anywhere, which makes work much easier on a bureaucratic level.
